How to convert a PDF to Excel

Open the document: Vélin spots the tables page by page, by their rules where there are any, by column alignment and white gutters where there are none. You check what was recognized before exporting, and you get an .xlsx workbook where each table has its own sheet. Numbers arrive as numbers, dates as dates, percentages and amounts with their type: the sum computes as soon as it opens, without retyping a column or fixing decimal separators. A table straddling two pages is rejoined when its columns match. The workbook opens in Excel, LibreOffice Calc, Numbers and Google Sheets. Nothing is uploaded: a bank statement or a general ledger stays on your device. You see, before the export, what was taken for a table and what was left aside.

What converts well, and what resists

A regular table, with headers and clean columns, is recognized almost every time. More resistant: cells merged across several rows, nested tables, notes at the foot of a table, and scanned documents — which must go through character recognition first. The formulas of the original spreadsheet, for their part, no longer exist in the PDF: only their results remain, and no tool can reinvent them.

Frequently asked questions

How are tables recognized?

By their rules when the table has them, by column alignment and gutter width when it has none.

Do numbers stay numbers?

Yes. Decimal separators, thousands spacing, percentages and currency amounts are interpreted, and written as numeric values in the workbook.

What is the workbook compatible with?

The .xlsx file is written to the standard format: Excel, LibreOffice Calc and Google Sheets open it without conversion.

Are formulas recreated?

No: the values, not the formulas. A PDF holds only printed numbers — a sum is retyped in one cell, and since the numbers are typed, it computes straight away.

Is a table spanning two pages rejoined?

Tables are collected page by page. A table that continues gives two blocks, to be joined in the workbook — but no row is lost on the way.
